1. Data Ownership & Tenant Control

Institutions control their admission records, while applicants retain rights provided by applicable law. Admitly does not sell applicant information. Authorized infrastructure, storage, communication, OCR and AI service providers may process limited information solely to operate the service, subject to applicable contractual, security and retention controls.

2. Subprocessors

To operate the platform, Admitly may engage the following categories of authorized service providers, each subject to contractual data-protection obligations:

• Cloud hosting — application infrastructure and compute
• Object storage — uploaded applicant documents and institutional assets
• Email delivery — transactional notifications to applicants and staff
• OCR processing — text extraction from uploaded academic transcripts
• AI processing — advisory document review (staff-approved, not used for model training)
• Monitoring and error reporting — application health and performance observability

3. Artificial Intelligence Non-Training Clause

Applicant documents processed through Admitly's advisory AI features are evaluated strictly for OCR text extraction and evidence checking during the active review session. Applicant data is never used for model training or public datasets.

4. Search Engine Indexing Protection

Private applicant records, uploaded documents, internal staff queues, and authentication routes are explicitly excluded from public search engine indexing via robots.txt and sitemap configurations.
